CHET: Bespoke software system from Cars for Stars

Cars for Stars has developed a bespoke system called CHET, Combined Hire & Enquiry Tracking

With the number of enquiries generated, there is a need to respond quickly and professionally, as well as a requirement to be able to track and search enquiries or bookings. Cars for Stars has developed, over the years, a bespoke programme designed to reduce much of the administrative and repetitive burden. The system is multi-faceted, but most importantly, it has been developed, from the ground up, with a limousine hire business in mind. Additionally, it is constantly updated and upgraded to take account of the new challenges that face an expanding business.

The CHET system was designed for functionality and practicality rather than aesthetics, it was built to be user friendly, fast and reliable. Unlike the many off the shelf packages, it has been specified by users of the system and as a consequence, the processes and results are often revised to ensure that it remains a useful tool rather than a bothersome chore. Correctly used, CHET saves Cars for Stars Licensees an inordinate amount of time on the mundane, daily and repetitive aspects of running a growing and busy limousine company.

Listed below are a few of the processes that CHET handles together with screenshots, which will open in a separate window, for obvious reasons, confidential customer information has been hidden, reduced in size or camouflaged.

View all enquiries for your area

Once a webform has been completed by a potential client, the enquiry is downloaded onto the Cars for Stars server and the enquiry is automatically allocated to the relevant Licensee based on the postcode. Licensees can view the unique identifier, when the enquiry was completed, customer name, type of vehicle required and postcode. See screenshot screenshot

 

Process enquiries

Users can select, view, amend, price and process each enquiry using one of the pre-configured templates, see screenshot. This reduces the average time to process an enquiry to around 1.5 minutes. Once a template is selected, there is an opportunity to preview the quotation before it is sent, see screenshot. There is a 'look-up' facility to enable users to check whether or not a particular vehicle is available at the time and date requested.

 

Search for enquiries or bookings

This facility is commonly, though not exclusively used for when users want to retrieve a quotation sent in response to an enquiry and the prospect subsequently wishes to book. Users can search by the unique identifier, date of the hire or the customer name. See screenshot. Once the enquiry has been retrieved, it can be converted 'on the fly' into a booking.

 

Creation of Booking Forms

Creating a booking form is a fast process and is often completed whilst the customer is on the phone. There is an opportunity to make final changes, enter payment information and personalise the covering email, which is also semi-automated (screenshot). Allocate chauffeur and vehicle

Users can then allocate a chauffeur and vehicle to each booking, screenshot.

 

Create drivers itinerary

Once the chauffeur and vehicle has been allocated, a drivers itinerary (see screenshot) is created on the fly which can be sent via email or printed for the chauffeur. This can also be amended to add further instructions.

 

Summary of bookings

At anytime, users can view at a glance, all bookings. This summary includes unique identifier, customer name, date of the hire, duration, type of vehicle, chauffeur, travelling time and number of hours on hire. There is also an amend facility if required. Screenshot.

 

Summary of payments

Once again, a summary of all outstanding hire, which includes payment information is made available for users, see screenshot. This information can be amended and updated at anytime. Information contained in this section is used to provide a 'nag message' for when payments are overdue and so on. Once the hire is completed and all payments received, the forms can be archived.

 

Add new vehicles or drivers

Users are able to add new vehicles as and when they are acquired and new drivers as and when they are employed without administrator intervention. Screenshot

 

Vehicle history

In this section, users are able to provide a chronological 'history' on each vehicle, this may be for repairs, maintenance, vehicle tax, vehicle tests or vehicle licensing. This information can subsequently be printed off, if required, during routing audits by the local authority licensing inspectors. This section is also used to create 'nag messages' when a vehicle is due for a vehicle excise, licensing etc.  Screenshot
